How to write a CV for an admin job
Admin and PA roles are often underestimated โ and the CVs that accompany applications frequently reflect that. A sharp, well-organised CV that demonstrates exactly the skills the role demands will put you head and shoulders above most applicants.
What admin employers look for
- Organisational skills โ diary management, inbox management, scheduling
- Communication โ written and verbal, including drafting correspondence
- Attention to detail โ document accuracy, data entry, formatting
- Discretion and confidentiality โ especially for PA roles
- Technical skills: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, any relevant databases or CRMs
- Prioritisation under pressure โ multiple tasks, competing deadlines

Key skills section
For admin roles, a dedicated skills section is essential. List:
- Software and systems (be specific โ "Advanced Excel" not just "Excel")
- Typing speed if impressive (70+ WPM is worth mentioning)
- Specific admin tasks: minute-taking, purchase orders, expense management, event coordination
Work experience
Use action verbs: managed, coordinated, organised, drafted, prepared, maintained, liaised. Include numbers wherever possible: "Managed diary for 4 directors", "Processed 200+ purchase orders monthly", "Coordinated international travel for 15+ executives annually."
Tailoring to the seniority level
An admin assistant CV and an EA/PA CV are different documents. For senior roles, emphasise stakeholder management, board-level exposure and independent judgment. For junior admin roles, emphasise accuracy, systems proficiency and willingness to take on a wide range of tasks.
